Scheduling

Build the week on the schedule board or let the AI Manager draft it, collect availability and requests, and publish so each person hears what changed for them.

Last updated October 12, 2026

Scheduling is where you build your week: who works when, open shifts, availability, time off, swaps and cover. It is for stores that build a weekly schedule, it is off until you turn it on, and it works with or without the time clock.

Turn it on

  1. In Store Settings › Services › Scheduling, turn it on and choose when next week is drafted.
  2. Go to Sidebar › TEAM › Schedule and tap Open the schedule board. People are rows, days go across, and an Open shifts row holds shifts nobody has yet.
  3. Click an empty cell to add a shift, or use Copy last week or Draft with AI.
  4. Tap Publish, check Review before publishing, then Publish & notify.

Good to know

  • Drafts are marked "only you can see it". Staff see nothing until you publish, and then each person is told only what changed for them.
  • The AI Manager drafts next week at the time you set. It keeps anything you placed yourself and names each gap it could not fill. If you ask it to publish, it waits for your Confirm.
  • Staff set availability and send requests from the Shift app or by text. Requests on the board collects time off, drops, swaps and open-shift claims; nothing changes until you Approve. Under What it may do on its own you can let the AI Manager approve routine time off — time off that leaves every shift covered.
  • A change to a published shift shows "changed · not sent" until you publish again.

If something's not working

  • No schedule board? Check Scheduling is on in Store Settings › Services.
  • Someone didn't hear about their shifts? No phone in the review means you tell them yourself; add their number in PEOPLE › Roster and send them an app invite from Team on the board.
  • Still stuck? Email [email protected].
